  • The personal information; your name, company, function, e-mail address, postal address, telephone number, details pertaining to your company and etc. as far as only our business concerns, that we obtained shall be used only for the purposes mentioned below. In addition, we will not use personal information inappropriately.
  • We have appointed the person in charge of personal information protection and manage personal information handled according to internal rules and regulation regarding personal information handling. To secure personal information from hacking, lost, destroyed, falsification, leakage and any other actions which may endanger protection of personal information, we shall take necessary security measures properly.
    Our security measures are as follows,
    1. Formulation of basic policy
      In order to ensure the proper handling of personal information, we have established a personal information protection policy.
    2. Establishment of regulations regarding the handling of personal information We have established regulations that specify how to handle personal information at each stage of its collection, storage, use, provision, and disposal.
    3. Safety management measures as an organization
      We have appointed a person responsible for the handling of personal information, and have the managers of each department perform the necessary personal information protection tasks.
      A reporting and communication system is in place to notify the person in charge in the event that facts or signs of violations of the law or handling regulations are detected.
    4. Security management measures for persons
      We will provide necessary in-house training to our employees on the precautions to be taken regarding the handling of personal information.
    5. Physical security management measures
      We have implemented measures to ensure that personal data cannot be easily accessed by anyone other than the employee who can handle the information or the individual.
      In order to prevent the theft or loss of equipment, media, and documents that handle personal data, we have established rules for removal and storage.
      In addition, we have taken measures to set passwords in case of theft or loss.
    6. Technical safety management measures
      We have clarified which devices and employees have access to personal data. We also manage the access right and take measures to prevent unnecessary access.
      In addition, firewalls and security software have been installed to protect against unauthorized access from outside and unauthorized software.
    7. Understanding the external environment
      We implement necessary security management measures based on our understanding of the protection systems and related laws in Japan and the countries where our group companies are located.
  • We will never disclose personal information to other third parties unless there is consent to disclose beforehand and not in the case the disclosure would be allowed according to related lows. However we may provide personal information to outsourcers or share it with Yamato group companies when it would be necessary to conduct obligatory business operation within the purposes of use.

Which sources and which data do we use?

We process personal data that we receive from you as part of our business relationship.

In addition, we process - as far as necessary for the provision of our service - personal data that we have legitimately received from our cooperation partners (for example, to execute orders, to fulfill contracts or on the basis of your consent). Furthermore, we process personal data that we have legitimately gained and are able to process from publicly available sources (for example, directories, newspapers, public news releases and company websites).

Who receives my data?

Your data will be received by those entities within the Yamato Scale Group that need it to fulfill our contractual and legal obligations. Our contractors can also receive data for these purposes, which engaged in Logistics, Printing Services and Consulting as well as Sales and Marketing. Other data recipients may be the ones for whom you have given us your consent to submit the data.

How long will my data be stored?

We delete the personal data as soon as the purpose is fulfilled. we process and store your personal data for the duration of our business relationship, which includes, for example, the initiation and execution of a contract.

It should be noted that our business relationship is a permanent readiness for the maintenance of machinery and equipment; it is thus a long-term relationship implied to last for years. Therefore the personal data can be stored for the same amount of time, if they are required to fulfill our contracts.
We are furthermore required to respect certain obligations for the storage and documentation of data according to laws, acts and regulation which applied to in Japan.

Is data transmitted to a third country or to an international organization?

Data will only be transmitted to third countries (countries outside the European Economic Area (EEA)) if this is necessary for the execution of your orders (e.g. shipping, payment and securities orders). Before we transmit the personal data, we will check if any agreements are there between EEA and recipient parties’ countries. If there would be no agreement between EEA and recipient parties’ countries, we will make agreements for appropriate safeguards with recipient parties.

As part of our business relationship, you only have to provide those personal data which are necessary for the execution and termination of a business relationship or which we are legally obliged to collect.
